The battery passport in eight steps: who does what, made clear

From “do I need one?” to publishing, printing the QR code, preparing EU registration and keeping the passport up to date, the platform walks you through it. The AI only drafts; you confirm every value, and your compliance lead presses the legal buttons such as publish.

Step 1

Check: find out whether you need a passport

Answer a few questions about the product. The platform tells you the category, whether you need a passport, by when, and roughly which data will be filled in.

What we do

  • Decide the category from use, capacity and weight
  • Give the article behind every answer
  • Give you the result as a short report

What you do

  • Answer about five product questions
  • Ask an expert about anything the check flags as unclear

Basis: Art. 3Art. 77(1)

Feature: Compliance check

Result: 5.12 kWh home storage — needs a battery passport (demo data).

Step 2

Documents and AI reading: use what you already have

Upload spec sheets, test reports and safety data sheets. The AI pulls out the values and notes the page of the source for each. A value only counts once you look at it and confirm.

What we do

  • Read the data and show the page and how sure the AI is
  • Map each value to the right passport field
  • Flag it when two documents disagree and let you choose

What you do

  • Upload the documents you have
  • Confirm each value the AI read

Basis: Annex XIII

Feature: Side-by-side review of document and AI reading

Step 3

Supplier data: send a link for what is missing

Cell composition and material origin are often known only to suppliers. The platform lists who to ask for what; you send a link and they fill it in on their phone.

What we do

  • List which data must come from suppliers
  • Make a link that needs no sign-up
  • Remind the supplier before the deadline and mark the source of returned data

What you do

  • Forward the link to your suppliers
  • Look at what comes back and confirm it

Basis: Annex XIIIArt. 77

Feature: Supplier request and mobile form

A supplier fills it in on a phone, no sign-up (demo data).

Step 4

Check and publish: errors are flagged first

Before publishing, the platform checks the passport against the regulation field by field: required values filled, formats and units right, access levels set. Errors are flagged; you can publish once they are fixed.

What we do

  • Check all 92 fields
  • Show errors and hints apart and tell you where to fix them
  • Separate public data, data for specific parties and data for authorities automatically

What you do

  • Fix what is flagged
  • Your compliance lead confirms publishing

Basis: Art. 77(2)Annex XIII

Feature: Data editing with checks, publishing and placing on the market

Step 5

QR code: one ID and one code per battery

Once the passport is published, each battery has its own unique ID and QR code. Scanning it opens that battery’s passport.

What we do

  • Generate the unique ID and the QR code
  • Produce label files, ready to print
  • Make a QR information page for batteries that need no passport

What you do

  • Print the QR code on the battery

Basis: Art. 13(6)Art. 77(3)

Feature: Labels and QR codes

One QR code per battery (demo data).

Step 6

EU registration prep: guided, step by step

The passport ID has to be registered in the EU digital product passport registry. The wizard explains who registers, how the electronic seal works and how to fill in the forms, and generates the files you need.

What we do

  • Explain who registers and how the seal works
  • Generate the registration files
  • Connect to the registry soon after it opens for batteries

What you do

  • Prepare the documents the wizard asks for

Basis: Registry Reg. Art. 4, 8

Feature: EU registration prep

EU registration prep (demo data).

Step 7

Authorised access: you decide who sees restricted data

Recyclers and repairers who need restricted data such as dismantling information must apply first. The platform checks who they are, then leaves the decision to you.

What we do

  • Keep only public data on the public page
  • Check the applicant’s identity first
  • Log every view

What you do

  • Approve or decline the request
  • Revoke access at any time

Basis: Art. 77(2)Art. 78

Feature: Access requests and grants

Handling one access request (demo data).

Step 8

Lifecycle updates: we remind you when data changes

Remaining capacity and usage data change over time. The platform reminds you at the recommended rhythm and records when each value was measured and where it came from.

What we do

  • Flag data that may be out of date
  • Update battery by battery, or import in bulk
  • Remind you to republish after an update

What you do

  • Update the data when reminded
  • Confirm and republish

Basis: Art. 77(4)Annex XIII

Feature: Battery details: dynamic data

Remaining capacity marked “may be out of date” (demo data).

See it on your own battery.

An adviser shows you the platform in 15 minutes. Your supplier does the work in it; a collaboration account lets you see your passports.
